Department of Family Services: Application and Case Automation

Summary

mavQ intelliSuite is a product that is utilized across departments of family services to reduce manual tasks, data entry, and increase visibility for social workers serving constituents. intelliSuite is able to automatically process utility assistance applications and escalate high risk applications to the front of the review queue. It is also used to automatically process field notes and court documents to provide greater insight into childcare cases.

Challenges

  • Lack of Visibility: Often time important information for an application or a case is hidden in a digitized PDF or image of a document. Relevant information such as family relationship status, income information, and identification discrepancies often go missed or take a long time to find and manually enter into cases.
  • Inefficient Workflows: Caseworkers have been shown to spend up to 30 hours a week on paperwork, data entry, and updating case information. This makes it very difficult for them to perform their jobs well.
  • Prioritization: Family Services agencies are often faced with decisions to ensure the cases with the highest need are serviced first. Without automated workflows, high priority cases are sometimes neglected until it is too late.

Outcome

Customers who implement intelliSuite are able to enter 70% more data into cases from supporting documents. Agencies have increased operational efficiencies of processing paper documents by 66%. By utilizing extracted data from documents they have automated workflows that enable users to process high priority applications and cases 87% faster.
